Most guides on “how to make custom patches” walk you through gluing felt at your kitchen table. That works fine for a one-off craft project, but it’s not how a patch that needs to hold up on a uniform, a jacket, or a piece of gear for years actually gets made. Here’s what really happens, start to finish, inside a professional patch shop.
Step 1: Design & Mock-Up (24 Hours, or 6-8 Hours for Rush Orders)
It starts with your idea — a logo, a sketch, a reference photo, or just a description of what you want. Our team turns that into a digital mock-up so you can see exactly how the finished patch will look before anything goes into production. Standard mock-ups arrive within 24 hours. For urgent orders, we can turn one around in as little as 6-8 hours.
One thing worth knowing upfront: mock-ups are digital, and thread has its own texture and sheen that a screen can’t fully replicate. Expect a small amount of color variation between the mock-up and the finished patch — this is normal and true of embroidery in general, not specific to any one supplier.
Step 2: Digitizing
For embroidered patches, your design doesn’t get printed — it gets rebuilt from scratch as a set of instructions for the embroidery machine. This is called digitizing. A digitizer redraws your artwork stitch by stitch on a computer, mapping out exactly where the needle moves, which direction each stitch runs, and how colors transition. This step is what makes embroidery look clean instead of pixelated or rough — a good digitized file is the difference between a patch that looks sharp and one that looks like a bad scan stitched onto fabric. All digitizing is done in-house.
Step 3: Sample (2-3 Days for Standard Orders)
Once the design is digitized, we produce a physical sample so you can see and approve the real thing before we commit to a full production run. This takes 2-3 days for standard orders. If you’re not satisfied with the sample or it doesn’t match what was approved in the mock-up, we offer a 100% refund — no questions asked.
Rush orders skip this step entirely and go straight to production, which is how we’re able to deliver in 7 days instead of 14 — but it does mean you’re trusting the digitized mock-up without a physical proof first.
Step 4: Production
Once the sample is approved (or immediately after digitizing for rush orders), your patches move through several in-house departments: digitizing, embroidery, finishing, quality control, packing, and shipping. Each department runs its own quality checks before passing the order to the next stage — nothing skips straight from the embroidery machine to the box.
Step 5: Quality Control
Before anything ships, we check quantity and backing type against the order, compare finished patches to the approved mock-up or sample, and inspect for loose threads and clean, burn-free edges on cut patches. This happens at multiple points through production, not just as a final glance before packing.
Step 6: Packing & Shipping
Standard orders are delivered within 14 days from approval. Rush orders — which skip the sample stage — are delivered within 7 days.
DIY vs. Professional Production
If you’re making a single patch for a personal craft project, gluing or hand-stitching felt at home is a fine weekend activity. But for anything that needs to survive repeated washing, represent a business or organization, or look consistent across dozens or thousands of pieces, the digitizing and quality-control steps above are what actually make the difference.
